Data Integration

Student (or School) Information Systems (SIS) are great for storing the information you collect as a school. They certainly have all your student and staff records and we bet your SIS has a place to store some of your office discipline referral data, too. SWIS does more than store your ODR data for end-of-year reporting. Referrals in SWIS carry all the right information you need to make real-time, data-driven decisions as a team.

We also know how important efficiency is to your process, and double-entering data can be a pain. If you're looking for ways to integrate data you store in your SIS with your school’s SWIS account, we have some options ready to help you out.

SWIS Person Import Tool
Made for Single schools
Student and staff records are the easiest pieces of data to upload. The Person Import Tool makes uploading them a simple process. Export a compatible file from your SIS and use SWIS’ built-in tool to walk you step-by-step through uploading your school’s student and staff lists.
DataLink People and Referrals
Made for District, Regional, or State
If there are more than two schools in your area interested in integrating SWIS with an SIS, DataLink is the option for you. Eliminate the need to manually enter student and staff rosters by using DataLink People to upload them for you. For larger districts who have more time and expertise, we offer an option to upload referral data in addition to student and staff records with DataLink Referrals. Contact our customer support team for more information.

FAQ

How do I setup an SDEX account?
1. Go to the SDEX login
2. Click Create Account and submit the form.
3. Check your email to verify the account.
4. Log in with your email address and password.
5. Follow the in-app instructions to add schools and create batch downloads.
How do I add a school to my SDEX export?
To add a school to your SDEX batch export, you need the school’s SDEX access code. To get the code, someone with access to the school’s SWIS subscription needs to go to Tools > School Settings > SWIS and find the Data Integration settings. Click the setting that says District SDEX Access and set it to Yes. That generates the code you need to add the school to your export.
What support does PBISApps offer for DataLink?
We work with your uploading organization – like a district, region, or state – to iron out: setting up a DataLink account, scripting the automated upload, mapping SIS codes to their SWIS counterparts, testing data files, and verifying compatibility. After setup, our customer support team is available to answer any questions that come up and to troubleshoot any errors. Our support is free and included with your DataLink setup.
How does my school start using DataLink?
Once your uploading organization – like a district, region, or state – has setup the data transfer and tested it for compatibility, they are ready to invite your school to participate! Your uploading organization sends an email invitation to the administrators at each SWIS school asking if they’d like to participate in DataLink through our online tool.
Can I schedule when data import or export?
Sure! With SDEX, you can export your data manually anytime or schedule an automated batch export to run when you need it. When you import data using DataLink, go ahead and send us the file when it works for you. We import all DataLink files at our scheduled time each night.
How often should I import or export data?
You can import and export data as often as you need. Here are a few recommendations
• Person Import: Beginning of the year.
• DataLink: Entire people lists beginning of the year. Updates once a day.
• SDEX: When needed.
Can we import referrals into SWIS from our SIS?
Yes. Importing referral data to SWIS is more complicated than importing student and staff rosters, so it requires additional time from your district I.T. personnel as well as the ability to customize your SIS data fields. Contact our customer support team for more information.
